Medical Treatment Student Examination Committee Policy

  1. Purpose

The Medical Treatment Student Examination Committee is responsible for reviewing cases of students who require medical treatment or who are unable to attend an examination because of a documented medical condition. The Committee ensures that all cases are handled fairly, confidentially, and according to university regulations.

  1. Committee Formation

The College shall establish a Medical Treatment Student Examination Committee consisting of appropriate academic and administrative members appointed by the Dean.

  1. Student Procedure

A student who becomes medically unable to attend an examination shall:

  1. Attend a recognized hospital or authorized medical facility for medical assessment and treatment.
  2. Obtain an official medical report documenting the medical condition and the period of treatment.
  3. Submit the medical report to the Medical Treatment Student Examination Committee for review.
  4. The Committee shall verify and evaluate the submitted medical report and determine whether the case meets the requirements for examination deferment or retake.
  1. Committee Decision

After reviewing the medical report, the Committee shall:

  • Verify the authenticity and relevance of the medical documentation.
  • Determine whether the student's absence from the examination was medically justified.
  • Approve or reject the student's request according to university regulations.
  • Prepare an official recommendation regarding the student's eligibility to retake the examination.
  1. Dean Approval

If the Committee approves the student's request, the case shall be formally submitted to the Dean of the College for final approval.

  1. Registration

Following approval by the Dean:

  1. The approved case shall be forwarded to the Registration Office.
  2. The Registration Office shall officially record the student's approved medical examination status.
  3. The student shall be registered for the appropriate examination retake.
  1. Examination Retake

After completion of the registration process, the student shall be permitted to retake the examination according to the examination schedule and regulations approved by the College.

  1. Documentation and Confidentiality

All medical reports, Committee decisions, Dean approvals, and registration records shall be maintained securely and treated as confidential documents. Access to medical information shall be limited to authorized personnel.

  1. Process Flow

Student attends hospital → Medical report issued → Report submitted to Committee → Committee reviews and decides → Dean approval → Registration Office → Student registered for retake → Examination retaken

  1. Responsibilities

Student:
Submit valid medical documentation within the required period and complete the necessary procedures.

Medical Treatment Student Examination Committee:
Review medical reports, verify eligibility, and submit recommendations.

Dean:
Provide final approval for cases recommended by the Committee.

Registration Office:
Record the approved case and register the student for the examination retake.

Examination Committee:
Arrange the examination retake in accordance with the approved decision and College regulations.
